# Order Lists as an Employee

Creating, filling and reordering from order lists in the B2B Platform

This page describes how to get the most out of order lists while logged in as an employee.

{% hint style="info" %}
Shop operators can customize the look and placement of icons and menu items, so your shop may differ from these examples.
{% endhint %}

## Accessing the order lists

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2Fx3HwhafkG3rnjNwPDMN9%2Fol-access.png?alt=media)

There are two ways to reach the order lists:

1. Available on every page within the B2B Platform: under **Products**, the entry **Order lists**.
2. Available on every page: the icon in the upper right gives you access to order lists no matter where you are in the shop.

## Viewing existing order lists

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FcMox2MeMIk1f7fjpwxwt%2Fol-overview.png?alt=media)

At `/b2b_platform/product-list` you see all order lists you have access to.

You can filter them by label and by visibility. Visibility covers all companies you have access to and offers an option to filter for private lists.

For performance reasons the total value of all articles in a list is recalculated once a day. Hover over the number to see when it was last recalculated.

**Language of automatic order lists**

Automatically created order lists are named in the language of the user who triggered them. The name is not updated when you switch to a different language yourself.

## Creating a new order list

### From the order list overview

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FbeJBtY4VkVEgog7TScPx%2Fol-create-button.png?alt=media)

Click **Create new order list**. A dialog asks for a name and the visibility of the list.

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FPNdXWDgPr88uI3AEeU6A%2Fol-create-modal.png?alt=media)

After creation you get a success message in the upper right corner.

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FGoV4oZDYNFydGj40PCnE%2Fol-create-success.png?alt=media)

### From the product detail page

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FQhMaDkqIrY2OlV6fpguT%2Fol-create-pdp.png?alt=media)

On every product detail page there is an icon that starts the dialog for creating a new order list.

### From the category page

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FCKSjVeaqNaNa3BDns1Vx%2Fol-create-category.png?alt=media)

On every category page each entry has an icon that starts the dialog for creating a new order list.

## Adding products to an order list

### Using a CSV file

There are two entry points for uploading a CSV that is turned into order list entries:

From the order list overview:

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FPzRXGMkme6LiPQwBK3Yj%2Fol-import-from-overview.png?alt=media)

From within an order list:

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2F3uGoRGfzL2imsMyNHR8X%2Fol-import-from-list.png?alt=media)

A dialog asks for the CSV file and how it is structured:

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FjscOiDHlQ0bbnMrHon8m%2Fol-import-modal.png?alt=media)

* **Product no. column** — which column contains the product numbers.
* **Quantity column** — which column contains the quantity.
* **Comment column** — which column contains the optional comments.
* **File has a header** — whether a leading row contains column headings.

{% hint style="info" %}
To match the defaults of the dialog, your format needs to look like this:

`SWDEMO10000,,,"My comments",15`
{% endhint %}

{% hint style="success" %}
You can generate an example CSV file by clicking **Export** instead of import; an empty file is generated. If you already have other order lists, export one of those and adapt it.
{% endhint %}

### From inside the order list

Click into the **Search product...** field and look for products as usual. When you have found the product, click the entry and then **Add to list** to append it.

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FYj2hzhjh66ScBIk2Yw6s%2Fol-search-product.png?alt=media)

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FJJy9yi1PDn8pXdoUzAM2%2Fol-search-result.png?alt=media)

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2Fgp4NZy7QlfBfIWx9192L%2Fol-search-added.png?alt=media)

### From a category page

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FygE022OpMlpoEmi2hiAB%2Fol-add-category.png?alt=media)

On every category page each entry has an icon that starts the dialog for adding that item to an order list. After selecting a list the page reloads and a success message is displayed.

### From the product detail page

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FiSLgrhCr2l7SfE3kGz3N%2Fol-add-pdp.png?alt=media)

On every product detail page you find a button **Add to an order list**. After selecting a list the page reloads and a success message is displayed.

## Example of a filled order list

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FjijlFQnq88NJ8PDIHEsi%2Fol-filled.png?alt=media)

## Ordering specific items from an order list

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FLkUNe0r5lcd9d4200D8u%2Fol-order-selected.png?alt=media)

If you only want to buy selected items from your order list, you have two options:

1. Set the quantity and optionally the comment for a product and click the cart icon on the right to add that single item to your cart.
2. Select the checkboxes on the left and adjust the quantity for the products you want to order.

You can filter the list by typing into the search box under the **Products** heading. Your selection is retained across searches and page changes.

Once you have made your selection, click **Add selected products to the shopping cart**, or **Request offer** to request an offer for your selection.

## Renaming an order list

Open the order list and click the gear icon above the list:

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2Fl4OXWGXVcdQTIPgHGf8H%2Fol-rename.png?alt=media)

A dialog lets you edit the name of the list. Click **Save** to confirm.

## Deleting an order list

### From within an order list

![](https://3555939725-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FN7trivXBQb3doKIrPW2i%2Fuploads%2FqEQxTkURwpyQcuNkBbh9%2Fol-delete-inside.png?alt=media)

Open the gear icon and click **Delete order list**. The list is deleted immediately.

### From the order list overview

Click the delete icon next to the order list you want to remove. You are asked to confirm before it is deleted.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.b2b-sellers.com/b2b-platform/user-guide/using-the-b2b-platform/customer-portal/order-lists-as-an-employee.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
